Documenting Vehicles Before Acquisition

The Problem

As I began mapping the lifecycle of a collector vehicle, I noticed a gap in how ownership is typically documented.

The Missing Phase

The Evaluation phase contains many of the records that influence a purchasing decision. Inspection reports, appraisals, photographs, ownership research, and acquisition notes all contribute to understanding a vehicle before ownership begins.

Yet most vehicle management systems have no place to preserve that information. The acquisition process generates valuable records, but those records are often lost once a purchase decision has been made.

The lifecycle model revealed this gap. Evaluation was already a distinct phase in the vehicle lifecycle, but it was not represented in the product. This release closes that gap by introducing a dedicated vehicle status and workflow for documenting potential acquisitions before ownership begins.

Most vehicle management systems begin after acquisition. A vehicle enters a collection, records are added, and documentation accumulates over time.

In reality, much of a vehicle’s story begins long before ownership.

Collectors often spend weeks—or even months—researching a vehicle before making a purchase decision. Inspection reports are commissioned. Provenance is researched. Appraisals are performed. Ownership histories are verified. Notes are collected. Documents are exchanged.

These activities generate information that is often critical to understanding a vehicle’s history and value.

Yet much of that information disappears once a purchase decision has been made.

The Solution

This release introduced a new vehicle status: Evaluating.

Rather than requiring ownership before creating a record, Collector Archives now allows a collector to create a vehicle record during the evaluation process.

This makes it possible to begin documenting a potential acquisition before a purchase decision has been made.

An evaluation record can include:

• Vehicle location
• Current owner information
• Asking price
• Appraised value
• Inspection reports
• Provenance research
• Acquisition notes
• Supporting documents

The goal is simple: preserve the information that influences a purchasing decision and make it part of the vehicle’s historical record.

Design Decisions

This release also included a significant redesign of the gallery experience.

Photographs play an important role within a collector archive, and many images are far more than visual assets.

Inspection photographs, appraisal photographs, restoration photographs, and transport photographs all serve as evidence of a vehicle’s condition at a specific moment in time.

They help establish provenance. They support valuations. They document restoration work. They preserve historical context.

Because of that, the gallery is evolving from a simple image collection into a visual documentation system designed to preserve records throughout the life of a vehicle.

The long-term vision is for every photograph to become part of the vehicle’s historical record.

Alongside these workflow additions, I completed a broader visual design and mobile UX refinement pass across the prototype.

The work focused on:

• Simplifying navigation
• Reducing interface clutter
• Improving the vehicle record experience
• Strengthening consistency across screens
• Refining the design system
• Improving the overall mobile experience

Many of these changes are subtle, but collectively they make the product feel more cohesive and easier to use.

Looking Ahead

With each release, Collector Archives moves closer to the vision of a complete archive for the life of a collector vehicle.

This release focused on documenting the evaluation process before acquisition. Future releases will continue to expand how Collector Archives captures the records, activities, and decisions that shape a vehicle’s history over time.
